As your Treasurer, I have been asked by the BCNC Board to establish and use an electronic financial program to manage and track club donations and expenses. For years our club bank account has gone down steadily:
- 1/1/04 - $9,150.08
- 1/1/05 - $8,040.16
- 1/1/06 - $6,361.38
On April 2, 2006, I completed imputing data into MS Money, a sophisticated financial system that will allow the club to get detailed reports to review and analyze the financial data to see where both income and expenditures should be adjusted to balance the flow of our clubs account. I have been imputing debits and credits into this program since late last year. Before I finished imputing, I asked members to review the income and expense accounts and sub-accounts to ensure that all income and expenditures have a way in and out of our accounts. I need the board and members to review these two items:
- Accounts and sub-accounts to see if anything is missing.
- Budgeted amounts on the footnotes for sufficiency and appropriateness.
At the Elk Grove meeting, prepare to recommend ways to enhance our donations and reduce our expenses at our Elk Grove meeting:
- Charge a minimal donation (25 cents) for hot beverages during specialties to pay for this service.
- Charge the amount it costs the club to provide ready-made lunches, plus 20 percent.
- Ceilings for expenses (budgeted amount in all major expense accounts.
- Move the Trophy Carryover Fund to a Bank of the West savings account to separate the checking account to this revolving fund.
- Establish donation funds for members to add to their BCNC dues checks to help fund favorite selected borzoi organizations.
