The few members that were present spent some time discussing a proposed budget for 2004. The next meeting will be Tuesday, December 16th.
The Rt. Rev. Bishop Chilton Knudsen shown on a recent visit to St. Andrew's. St. Andrew's Church Bishop's Committee Minutes Tuesday, August 12, 2003 Attendance: Present were Betty Peterson, Rev. Jean Austin, Barbara Miller, Anne Whatley, Heidi Hartz, Elaine Folsom, Gail Doughty, and Gail Butler. Jean opened the meeting with a reflective reading. Secretaries Report Anne moved, Gail D. seconded to accept the minutes of the June 18, 2003 minutes as presented. The motion passed unanimously. Treasurer's Report Gail D. presented the June and July reports and the July YTD Budget Analysis. Elaine moved, Heidi seconded to accept the reports as presented. The motion passed unanimously. We discussed the Fair proceeds and the idea of changing the process to be that funds raised from a "church" activity be allocated to the general fund of the church. The Women's Guild will discuss this at their September meeting. Old Business Sunday School Teachers - Jean has a list of six volunteers to teach Sunday School on a rotation basis team-teach. New Business Coffee Hour sign up - if no one has signed up for a Sunday coffee hour, there will be no coffee that Sunday. Study Group- Carl Smith would like permission to organize a fall book discussion group. The committee gave it's blessing to this idea. Church Ad Project - this will be discussed at the next meeting. Parish Thank You Cards - Betty will be getting samples of cards to replace the currently used form letter that is sent to visitors. The Notable's sent a $100 donation to the church to help defray the cost of winter heating, and requested to use the church for practices again this year. Anne moved, Elaine seconded that we allow the Notables to use the church for practice, Monday mornings September - March. The motion passed unanimously. Jean will be on vacation 8/31 and 9/7; retired clergy will be taking the services. Jean will be contacting Jim Bowditch from the Diocese Office to come to the next Bishop's Committee meeting to talk about Stewardship and Planned Giving.  St. Andrew's Church Bishops Committee Minutes Thursday, May 22, 2003 Attendance: Present were Betty Peterson, Rev. Jean Austin, Anne Whatley, Elaine Folsom, Carl Smith, Ken Freye, Gail Butler, and Buzz Butler. Jean started the evening meeting by leading us in an African Bible Study with a passage from Luke; 16. Secretaries Report Ken moved, Buzz seconded to accept the minutes of 4/24/03 as presented. Motion passed unanimously. Treasurer's Report Betty presented the April report and the Year To Date analysis. Ken moved, Anne seconded, to accept the report as presented. Motion passed unanimously. The committee gave Gail Doughty the authority to select a candidate for the 2003 Winthrop High School scholarship. Old Business Camp Bishopwood - Zac Elwell and Cody Maitland will be attending Camp Bishopwood this summer. The committee agreed to split the $600 allocated to camperships between the two boys. Memorial Garden - The committee discussed ideas for a Memorial Garden, Betty will get prices and submit them to the Memorial Fund Committee. New Business Memorial Fund Committee - Jean suggested that we form a committee to act as a steering committee to review ideas and requests. Jean will make an announcement in church and solicit volunteers. Summer Ad in the KJ - The committee agreed that we should advertise in the Summer Worship Directory (June 26, 2003). Betty will also check with the Winthrop Advertiser about publishing our information. Grant for 2004 - The committee agreed that is too soon to know our needs to apply for grant money. Buzz shared with the committee a recent visit to St. Andrew's church in Millinocket. Jean asked if any members of St. Andrew's have ever attended Cursillo? We discussed using new/different hymnals. The Memorial Fund Committee would approve funds. Jean will get more information on this. The Jubilee Center in Lewiston is appealing to churches for Out Reach funds. The next meeting of the Bishop's Committee will be Wednesday, June 18, 2003. Respectfully submitted, Gail Butler, Clerk Bishop Committee Minutes Thursday, March 20, 2003 Attendance: Present were Betty, Buzz, Gail B., Anne, Gail D., Elaine, Carl,Ken, Heidi, Mary Helen Lawson, and Rev. Jean Austin. Buzz led us in an Opening Prayer. Secretaries Report Carl moved, Buzz seconded to accept the minutes of 2/20/03 as presented. Approved unanimously. Treasurer's Report Gail D. presented the February report and a Year To Date actual report. Carl moved, Anne seconded to accept the reports as presented. Motion passed unanimously. Old Business Betty introduced the Rev. Jean Austin to the committee. Jean gave a short summary of her background to the committee and then the committee introduced themselves to Jean. Note: Betty will send a letter of introduction to the entire membership of the church. The committee then reviewed the final draft of the Letter of Agreement with Jean. The total annual compensation for a one fifth time will be $12,644.00 (this includes compensation and benefits). By consensus the committee agreed that the goals on the Letter of Agreement for St. Andrew's for the year 2003 would be: 1. Spread the Magic of St. Andrew's 2. Provide continuity of leadership 3. Study the healing process (services) 4. Set a direction for the Memorial Fund Heidi moved, Ken seconded the following resolution: Whereas, section 107 of the Internal Revenue Code permits ministers of the gospel to exclude from gross income a church designated allowance paid to them as part of their compensation, the Bishop's Committee of St. Andrew's Episcopal Church of Readfield Maine affirms the following 'non accountable' clergy housing and utility allowances for the calendar year 2003 for the following clergy who is compensated by the church exclusively for services as a minister of the gospel and for whom the church does not provide a parsonage: Rev. Jean Austin - Annual allowance of $8914. The motion passed unanimously. New Business Betty advised the committee that the Grant from the Diocese was approved in the amount of $3000.00. Ken moved, Anne seconded that the 2003 budget be recalculated to include the new numbers for compensation in the Letter of Agreement with Rev. Austin. The motion passed unanimously. Jean's first service will be Sunday, April 6th. The Women's Guild will host a reception for Jean immediately following the service. Anne asked for help with the Sunday school for 2 Sundays in April. Buzz offered to assist. The next meeting of the Bishop's Committee will be held Thursday, April 24th. Motion passed unanimously. New Business Healing Service - Betty will talk to Rev. Gill about scheduling a healing service. Millinocket Appeal - The supply priest fee of $100 plus the loose collection from the service of February 16th will be sent to the Bishop to aid in the Millinocket Appeal. Diocese Website - Reminder to everyone that the Diocese website is WWW.diomaine.org. Longfellow's Gift Certificate - The $200 Longfellow's Gift Certificate will be truned over to the general flower fund. Old Business One-Third Time Priest in Charge - Betty talked to the Bishop when she was here and was advised that the meeting to review the grant applications would not be held until mid March. Buzz moved, Gail D. seconded to give Betty the approval to move ahead with the letter of agreement with Rev. Austin. Motion carried unanimously. Outreach Donations - We approved to send $100 each to the following organizations from our 2002 Outreach budget; Hospice Volunteers of Kennebec Valley, Maine Council of Churches, Pastoral Care of Maine State Prison, Town of Readfield, Readfield Fire Dept., Presiding Bishop's Fund, Union Meeting House, Genesis Community Loan Fund, Episcopal Church Foundation, Mid-Maine Homeless Shelter, Kennebec County Habitat for Humanity, Foundations for Ministries, Camp KV for Kids, Winthrop Area YMCA, and the Bread of Life Membership List - We are reviewing the membership list so that our Parochial Reort will accurately represent our current membership. Our next meeting will be held Thursday, March 20th. The meeting was adjourned at 9:00 PM. A special meeting of the Bishop's Committee was held last night, January 15, 2003. Present were Betty, Anne, Buzz, Carl, Ken, Gail B., Barbara, Elaine, and Gail D. Carl led us in an opening prayer. The purpose of the meeting was to finalize our 2003 budget. The committee carefully reviewed the budget analysis for 2001 and 2002, and the proposed budget for 2003. Carl moved, Ken seconded; in order to meet the proposed 2003 budget and to facilitate the hiring of a one-third time priest in charge the congregation has responded by increasing their pledge amount by $6510, and we are prepared to take $2500 from our savings or additional stewardship, we therefore request that the Senior Warden apply to the Diocese for a $5000 grant for the year 2003 to meet the proposed expenses. The motion passed unanimously. We also finalized expenses for the year 2002. Ken moved, Anne seconded to appropriate $1500 in the 2002 budget to Outreach. The motion passed unanimously. This is approximately a $6,000 increase over 2002. > > Search Committee Update - Ken Freye, Chairman of the Search Committee was unable to attend the meeting. Betty presented in Ken's absence the unanimous > recommendation of the Search Committee that we offer the position of One Third Time Priest In Charge position to the Rev. Jean Austin. Rev. Austin is currently an interim priest at St. Phillip's in Wiscasset. Rev. Austin is the only candidate that was presented by the Bishop's office for consideration, and she is not retired. The Search Committee visited St. Phillip's, attended a service conducted by Rev. Austin, and interviewed members of St. Phillip's. The Search Committee also contacted references, and personally interviewed Rev. Austin twice, and is fortunate to have read a years worth of Rev. Austin's sermons. Members of the Search Committee present (Sherry, Charlene and Gail) shared with the Bishop's Committee all of the positive reasons why they feel this recommendation is a unanimous decision of the committee. The committee feels we are fortunate to have this very qualified candidate to recommend, and believe this is a good fit for St. Andrew's. Bill moved, Elaine seconded that the Bishop's Committee accept the recommendation of the Search Committee to offer the position of a One Third Time Priest in Charge to the Rev. Jean Austin. This is subject to the finalization of a one-year contract, which will include financials. The motion was approved unanimously. The next step will be that Betty will call Rev. Austin and advise of the committees motion and then will work out the contract details with the Bishop's office and Rev. Austin. New Business The Bishop's Committee approved the use of the building by the Readfield Cub Scouts on Wednesday evenings, Kevin Elwell is their leader. Ben Doughty has placed a collection box for food donations to the Winthrop Food Bank in the Wilson room. The membership list will be updated in January. Christmas cards will be sent to summer parishioners of St. Andrew's. The Annual Meeting will be held January 19, 2003. The next Bishop's Committee meeting will be held January 14, 2003.
